
Guidelines
The following is a list of guidelines that we ask you to follow. This
assists us in providing quality and timely service to everyone.
Supplies
Printing Services stocks a wide range of paper colors, sizes, weights
and finishes as well as certain colors of ink. For a complete inventory
of the standard papers and ink colors, contact the Printing
Services Manager.
If you require
non-standard paper or ink colors you must consult the Printing Services
Manager in advance to determine if a standard paper or ink color might
be acceptable. Departments may incur an additional charge for non-stock
paper or ink that must be ordered. Please leave additional lead-time
for the ordering of these supplies before the project due date.
Copying
The campus guidelines for copying recommend that you limit copying
on departmental copiers to twenty-five copies of any one document.
Heavy use of departmental copiers usually requires an increased number
of service calls. Therefore, copy jobs exceeding the limit should
be forwarded to the Printing Services department.
Copier Service Note: Each department is
responsible for calling for service on the copier in its area. If
you are having trouble getting prompt or satisfactory service, please
contact Purchasing.
Lead
Times
All small jobs must be delivered to Printing Services at least 48
hours prior to the requested completion date for the job. A small
job is approximately 75 to 100 copies of one or two pages, or less.
If you send the request through the mail, add one additional day.
Please plan ahead as Printing Services does not provide same-day service.
Special jobs, such as long runs, 11 x 17 inch paper, and jobs requiring
secondary operations such as collating, stapling, folding, etc., will
obviously require a longer lead time for completion. As a general
rule, plan for a minimum of one-week lead-time.
Jobs that need to be run on the press should have at least a one to
two-week lead-time depending on the quantity and complexity.

Requisitions
Printing Services has two types of requisition forms to complete all
job requests. One
requisition is for supply items and the other is to be used in requesting
services.
A supply of blank
requisition forms for your use may be obtained from the Printing Services
department. The requisition forms are both two-part forms (white and
yellow copies). Please do not tear the
forms apart. The department copy will be returned to
you by Printing Services after the monthly billing.
Please fill out
the requisition completely and accurately. Other requisition
forms will not be accepted. Requisitions will be sent back if they
are illegible and/or the account number and signatures are missing.

b. Date needed Please keep in mind that "ASAP"
and "Immediately" are not considered appropriate due dates.
Upon completion of a job, Printing Services
personnel will not contact departments.
Inquiries about the status of the job should be initiated by the
department. Please contact Printing
Services about the status of your project.
c. The type
of paper on which the job is to be run. If a paper is not specified,
the job will be printed on 8" by 11" 20# white paper.
d. The color
of ink. If an ink color is not specified, the job will be printed
in black ink.
e. The number
of originals to be copied. If both sides of an original are
to be copied, each side is to be counted as an original.
f. The number of copies to be printed.
g. Special instructions such as collating, folding, stapling,
cut, padding, back-to-back, two-up or delivering to the Mail Services
should be written out on the requisition in the space provided.
Please do not tear apart the yellow
and white Printing Services requisition forms.
In-depth
instructions on completing the requisition form and samples of inventory
are contained in manuals that have previously been distributed to
every department secretary. Printing Services staff members are
available to answer any individual questions about how to complete
the form.
College
Policy on Printing
To cut down on waste the College maintains a policy on the printing
and distribution of certain promotional material.
Fliers, letters
and memos that have the primary purpose of publicizing an event,
will not be distributed to all students, or to a particular
class of students. Fliers will be posted at the front desk of the
residence halls, in the RA's sections and in other strategic locations.
The Office of Student Activities will post fliers in Haggar College
Center, the Dining Hall and Madeleva. Note: Eighty-five (85) fliers
are necessary to meet these needs.
Fliers, letters and memos that have the primary purpose of providing
safety, policy and procedural information, will continue to be
distributed, as the originating department deems appropriate. Class
newsletters and Student Activities calendars are included in this
category. Anything of questionable nature should be cleared through
Marketing Communications before it is printed.
Copyright
The individual requesting the print job must obtain all necessary
copyright approvals. Written authorization to print the materials
must be provided to the Printing Services department before
any copyrighted material will be reproduced.
Lab
Manuals
Pages
All pages should meet the following guidelines:
Pages should be 8 "x 11"
Pages should be numbered consecutively in the same location
on each page, preferably in black ink;
Layout should be centered on the page as closely as possible;
Pages should be clean and legible with no heavy black borders;
All pages are to be submitted single-sided;
All margins are to be at least 1/2 inch on all sides. Anything
less will result in lost wording or pictures;
All pages should be set up exactly the way the manual is to
be run.
Time Frames
Lab manuals should be delivered to Printing Services at least
one week before the end of the preceding semester in which
your manuals will be used (i.e., fall manuals should be submitted
one week prior to the end of the spring semester).
Copyright
It is the faculty members responsibility to obtain the necessary
copyright approvals. Printing Services will be unable to print any
materials without proof of permission.
