If you are using the Zimbra webmail client (http://webmail.saintmarys.edu) you shouldn't be having trouble with sending or receiving e-mails, unless you have exceeded your e-mail quota. A quota is the limit of how much disk space you have available for your account. You have a quota for your e-mail (100MB) and a quota for your disk space on Diamond (50MB), and they are kept separate.

    Mailbox quotas apply to e-mail messages, attachments, calendar appointments, tasks, and briefcase files in your account.

    If you are over quota, you will not receive any new e-mail messages. Mail sent to you will be returned to the sender (bounced), along with a notification that your mailbox is full. You will also be unable to send new messages or save any files to your briefcase.

    The upper left corner of the Zimbra web client shows a bar indicating how much of your quota you have used. If you move your cursor over the word "Quota" it will give you an exact percentage and amount of space your account is using. You have a 100MB quota for your e-mail.

    Zimbra (Postmaster) will e-mail you a warning message to notify you when you are using 90% or more of your available quota.

    When the bar indicating your quota usage is green, you are in the "safe" range for your quota - you have plenty of available space to send and receive messages.

    When the bar indicating your quota usage is yellow, you are in the "warning" range for your quota - you may want to consider deleting messages, attachments, and briefcase files to use less of your available quota.

    When the bar indicating your quota usage is red, you are in the "danger" range for your quota - you will need to delete messages, attachments, and briefcase files to use less of your available quota. Failure to do so will result in the inability to send or receive messages after your quota usage reaches 100%.

    To get back under your e-mail quota:

    1. Visit http://webmail.saintmarys.edu and log in.
    2. Empty the Trash
      1. Select the Trash folder in the left column.
      2. Empty the Trash immediately by right-clicking on the Trash folder and choosing Empty Trash. (If you are using a Mac with a one-button mouse, hitting the Control key on your keyboard and clicking will give you the same option to Empty Trash.)
      3. Important note: Messages sent to the Trash will automatically be deleted from your account after ten days. Do not store messages you wish to keep in the Trash folder!

    3. Empty the Junk folder
      1. Select the Junk folder in the left column.
      2. Empty the Junk folder immediately by right-clicking on the Junk folder and choosing Empty Junk.(If you are using a Mac with a one-button mouse, hitting the Control key on your keyboard and clicking will give you the same option to Empty Junk.)
      3. Important note: Messages sent to the Junk folder will automatically be deleted from your account after thirty days. Do not store messages you wish to keep in the Junk folder!

    4. Delete attachments, or save the attachments on your computer
      1. Look for messages with large file attachments and delete those. Save the file attachments locally if you want to preserve them.

        To save an attachment to your computer:

        • Most attachments will automatically ask to be saved or downloaded to your computer when you click on the file name of the attachment. Examples include files created with Word, Excel, PowerPoint, and some PDFs. In most cases, the file will download to the desktop of your computer.
        • Next to the attachment's file name, Zimbra gives you options for the file.
          • Preview: Zimbra will display the attachment in a web browser window. (This option may not work with all attachments.)
          • Download: Zimbra will download the attachment. The attachment will be saved in the default location you have specified (which may be your desktop or a downloads folder).
          • Briefcase: Zimbra will save the file to your Briefcase. You can type in the name of the destination you want the file saved to, or select the destination by clicking on it with your mouse. Click OK.
          • Remove: Zimbra will delete the attachment from the message. Zimbra will show a confirmation message to ensure that you wish to permanently delete the attachment.

    5. Delete files from your Briefcase:

      1. Click on the Briefcase tab to view your Briefcase.
      2. Click once on the name of the file in your Briefcase that you wish to delete to highlight it.
      3. Click on the Delete button.
      4. Zimbra will confirm that you wish to delete the file. Click Yes to delete the file.
      5. The file will be moved to your Trash.

    6. Delete messages you longer need

    The problem should now be corrected. You can see what your quota is in the upper right corner of the Zimbra web client.

    If you are still over your quota after following the steps above, you will need to delete more messages to free up space. Messages that include attachments, especially pictures, tend to be the largest and would free up the most space in your account if deleted.
