You can share your Zimbra calendar with any other person at Saint Mary's using the Zimbra calendar, allowing them to either view your calendar or be able to edit your calendar.

    1. Visit http://webmail.saintmarys.edu and log in.
    2. Click on the Calendar tab to view your calendar.
    3. At the top of the Calendar page, right-click on the first calendar listed (called "Calendar") or on any calendar listed that you wish to share with another person. (Mac users with a single-button mouse can press the Control key on the keyboard while clicking on the calendar they wish to share to see the same options as right-clicking.)
    4. Select Share Calendar from the list.
    5. Select with whom you wish to share your calendar:
    6. Internal Users or Groups (people or groups with a saintmarys.edu e-mail account)

      1. Click the button next to "Internal users or groups."
      2. In the Email: field, enter the Saint Mary's e-mail address of the person you want to share your calendar with. The user or group must be a valid saintmarys.edu e-mail address. You can enter more than one address in the Email: field by putting a semi-colon (;) between addresses.
      3. In the Role area, selected the access permissions.
        • A Viewer can read but not edit your calendar.
        • A Manager will have similar access to your calendar as you have, including the ability to view, edit, add, and delete items in your calendar.
        • An Admin will have the same access to your calendar as you have, including the ability to view, edit, add, delete items in your calendar, share your calendar with others, and remove others from your shared calendar.
        • Noneis an option to temporarily disable access to your shared calendar without revoking the share privileges. The person you have shared your calendar with still has the calendar in their calendar list but cannot view or manage activities on the shared calendar.

      4. In the Message area, select which type of message to send. Please select one of the following options:
        • Send standard message: The standard share notification message is sent to the email address you entered above to let them know you are sharing your calendar with the recipient.
        • Do not send mail about this share: No share notification message will be sent.
        • Add a note to standard message: You can add additional information to the standard message. The message is sent to the email address you entered above to let them know you are sharing your calendar with the recipient.
        • Compose email in new window: You can create a message with the information you wish to provide about sharing your calendar with the recipient.

      5. Click OK.
      6. The person you shared your calendar with will receive an e-mail and must accept your invitation to be able to view your calendar. For people to accept access to your shared calendar, they must be using Zimbra's e-mail client to check e-mail. To accept access to your calendar, they must click Accept Share in the e-mail message. The Calendar is added to the person's Calendar list, and the invitation message is moved to their Trash folder.
      7. If a person you wish to share your calendar with is not using Zimbra's e-mail client to check e-mail (i.e., using Apple's Mail or Mozilla's Thunderbird) you should share your calendar using the "External guests" option described below.
      External guests (view only) (any person or group, they do not need a saintmarys.edu e-mail account)

      1. Click the button next to "External guests (view only)." External guests can read but not edit your calendar.
      2. In the Email: field, you want to enter the e-mail address of the person you want to share your calendar with. You can enter more than one address in the Email: field by putting a semi-colon (;) between addresses.
      3. Enter a password that users must enter to view your calendar. This is a password you create and tell them to use. This password should not be the same one you use to access your e-mail!
      4. In the Message area, select which type of message to send. Please select one of the following options:
        • Send standard message: The standard share notification message is sent to the email address you entered above to let them know you are sharing your calendar with the recipient.
        • Do not send mail about this share: No share notification message will be sent.
        • Add a note to standard message: You can add additional information to the standard message. The message is sent to the email address you entered above to let them know you are sharing your calendar with the recipient.
        • Compose email in new window: You can create a message with the information you wish to provide about sharing your calendar with the recipient.

      5. Click OK.
      6. The person you shared your calendar with will receive an e-mail informing them that they now have access to your calendar.
      Public (view only, no password required) (any person or group, they do not need a saintmarys.edu e-mail account)

      1. Click the button next to "Public (view only, no password required)." Public guests can read but not edit your calendar.
      2. When you select Public, anyone who accesses the URL listed in the box can view your calendar. No password is required.
      3. Click OK.

    To edit or revoke permission to shared calendars (You can revoke permissions at any time.)

    1. Visit http://webmail.saintmarys.edu and log in.
    2. Click on the Calendar tab to view your calendar.
    3. At the top of the Calendar page, right-click on any calendar listed that you have shared with another person - Internal, External, or Public. (Mac users with a single-button mouse can press the Control key on the keyboard while clicking on the calendar they wish to share to see the same options as right-clicking.)
    4. Select Edit Properties from the list.
    5. Under Sharing for this folder is a list of all users who have access to your calendar.
    6. Click Edit to change permissions (such as the role of the viewer) or click Revoke to remove permissions.
    7. Select whether a message describing the change should be sent.
    8. Click OK.
