If you are using the ZMail Zimbra webmail client
(https://webmail.saintmarys.edu) you shouldn't be having trouble with sending or receiving e-mails,
unless you have exceeded your e-mail quota. A quota is the limit of how much disk space you
have available for your account. You have a quota for your e-mail (100MB) and a quota
for your disk space on Diamond (50MB), and they are kept separate.
(Your calendar on Zimbra does not require a lot of space, but the space it requires comes from your
e-mail quota.)
In the upper right corner of the ZMail Zimbra web client shows a bar indicating how much of
your quota you have used. If you move your cursor over the word "Quota" it will give you an
exact percentage and amount of space your account is using. You have a 100MB quota for your e-mail.
If you are over your e-mail quota:
If you are over quota, the following things may happen:
- You receive a notification you are near or over your quota.
- ZMail may display a notification when you log in that you are near or over your quota.
- You will not receive any new e-mail messages. Mail sent to you will be returned
to the sender (bounced), along with a notification that your mailbox is full.
To get back under your e-mail quota:
- Visit https://webmail.saintmarys.edu
and log in.
- Empty the Trash
- Select Trash folder in the left column. (The number next to "Trash" is
the number of messages that are in the trash.)
- Empty the trash immediately by right-clicking on the Trash folder and choosing
Empty Trash.
- Important note: Messages sent to the trash will automatically be deleted from
your account after ten days. Do not store messages you wish to keep in the Trash
folder!
- Delete attachments, or save the attachments on your computer
- Look for messages with large file attachments and delete those. Save
the file attachments locally if you want to preserve them.
To save an attachment to your computer:
- Most attachments will automatically ask to be saved or downloaded to your
computer when you click on the file name of the attachment.
Examples include files created with Word, Excel, PowerPoint, and some PDFs.
In most cases, the file will download to the desktop of your computer.
- Some attachments can only be viewed as a web page. When you click on the
attachment link in the e-mail
message, a new web page will open to display the graphic. To save a copy of the file
on your computer, click once on the file displayed on the page
and while holding the mouse button down, drag the file to your computer's desktop.
The file should copy itself to your desktop, and then you can
move the file where you wish.
- Some attachments can be viewed either as a web page or as a download.
If view as html appears to the right to the file name of the attachment,
the attachment can be downloaded to your computer by clicking on the file name
or viewed in a web page without downloading the file to your computer by clicking
on "view as html".
- Delete messages you longer need
The problem should now be corrected. You can see what your quota is in the upper right corner
of the ZMail Zimbra web client - there is a bar indicating how much of
your quota you have used. If you move your cursor over the word "Quota" it will give you an
exact percentage and amount of space your account is using. You have a 100MB quota for your e-mail.
If you are still over your quota
after following the steps above, you will need to delete more messages to free up space.
Messages that include attachments, especially pictures, tend to be the largest and
would free up the most space in your account if deleted.
