Students who properly withdraw from the College prior to the first day of class for any semester will not be assessed any charges. For students withdrawing or dismissed after the opening of classes for any semester, there will be no refund of tuition and fees unless the student meets one of the following conditions:

  • Withdrawal or dismissal within four calendar weeks of the opening of classes.
  • Withdrawal because of a protracted illness or some other involuntary situation that is beyond the control of the student.

If any of the above conditions applies, the refund will be calculated in conformity with the following policies*:

 

ADJUSTMENT POLICY FOR GENERAL WITHDRAWAL:

Student withdraws or is dismissed within four calendar weeks of the opening of classes: Please note: The refund schedule will be adjusted accordingly based on the above schedule for students who withdraw from semesters or courses with durations of less than 16 weeks. No adjustment to tuition is made after the fourth week of classes.

  • Tuition - based on the date of official withdrawal.  Fees are not refundable.

  • Room and board - based on move out date from the residence hall and percentage of the semester that has been completed.

    Last day a room is assigned to you and can not be used by someone else, because you are occupying it (in person or with belongings)

    Adjustment in room and board costs is based on the date of move-out. Students are charged for the entire calendar month. For example, if you move out on or after September 1, you will be charged for the entire month of September. Adjustments are only made  if the withdrawal happens before 60% of the semester is completed.

     

 

 

ADJUSTMENT POLICY FOR APPROVED PROTRACTED ILLNESS OR OTHER INVOLUNTARY SITUATION WITHDRAWAL:

These types of withdrawals must be approved by the Dean of Students and/or the Dean of Student Academic Services, with appropriate medical documentation. If you withdraw after the opening of classes for any semester because of an approved protracted illness or some other involuntary situation that is beyond your control, your charges for tuition, room and board will be adjusted as noted below. The move-out date is the last day a room is assigned to you and can not be used by someone else, because you are occupying it in person or with belongings.



Tuition and Fees

Tuition: Based on the official withdrawal date. Students who withdraw before 60% of the semester has passed will receive a pro rata adjustment of tuition, based on their withdrawal date.  Students who withdraw after 60% of the semester has passed will not receive an adjustment in tuition charges.

Fees: Fees are not refundable.

Room and board: Adjustment in room and board costs is based on the date the student moves out of campus housing. Students who move out of campus housing before 60% of the semester has passed will receive a prorated adjustment of room and board. Students who move out of campus housing after 60% of the semester has passed will not receive an adjustment in room and board charges.

 


WITHDRAWAL FROM INTERNATIONAL PROGRAMS:

Students who withdraw from Saint Mary’s international programs are subject to the reimbursement policies for each individual program.

 

POLICY AND PROCEDURE:

The refund policy will be administered by the College Business Office under the direc­tion of the Controller of the College. A parent or student who wishes to appeal a decision of that office may do so by addressing a written communication to the Vice President for Strategy and Finance, Saint Mary’s College, Notre Dame, IN 46556. All notices of intention to withdraw must be made in writing and received in the Office of Academic Affairs and First Year Studies to be considered official. Any refunds will be considered official. Refunds for all funds excepting financial aid received from state and/or federal sources, which may have its own regulatory requirements, will be based on the date that the withdrawal process was initiated by the student. Refunds may not be back-dated beyond this initiation date.
