Accounting Assistant:

Saint Mary’s College seeks an Accounting Assistant to prepare various accounting worksheets, account analysis, and other accounting and clerical tasks under the direction of the Accountant. This is a full-time, benefit eligible position. Responsibilities include, but are not limited to, the following:

  • Accurately prepare accounting worksheets and reports making sure they balance to appropriate source
  • Answer questions or direct calls/ emails to appropriate person or take accurate messages as appropriate
  • Prepare bank reconciliations
  • Provide assistance to Student Accounts and Accounts Payable
  • Help in the preparation of the year-end audit
  • Perform tasks accurately and in a timely manner

QUALIFICATIONS: High school diploma or an equivalent combination of education and experience along with two years of related experience in accounting/bookkeeping is required. Additional qualifications include: the ability to type accurately at the rate of 50 wpm; the demonstrated ability to independently maintain programs or administer on-going projects; ability to use Microsoft Office products. Knowledge of Banner is a plus.

Administrative Assistant, Career Crossings Office:

The Administrative Assistant provides administrative, clerical, and receptionist support to the Career Crossings Office (CCO) at Saint Mary’s College. This is a full-time, benefit eligible position. Responsibilities include, but are not limited to:

  • Greets students, responds to requests for information, directs students to resources and other campus departments as necessary, and schedules appointments.
  • Uses College Central Network (career management system) to post jobs, internships, and events as well as maintains employer campus recruiting.
  • Tracks payment of invoices, requisitions, and purchase orders.
  • Maintains office documents and files including updating/creating documents for office events, programs, and resources.
  • Oversees the CCO email inbox, responds to inquiries, and directs messages as necessary.
  • Uses Drupal to create and maintain external webpages for offices, as requested.
  • Updates CCO internal portal community.

QUALIFICATIONS: A high school diploma or equivalent is required along with a minimum of two years of administrative support experience. Administrative Assistant, Center for Women's Intercultural Leadership (CWIL):

Saint Mary’s College seeks to hire an Administrative Assistant for the Center for Women’s Intercultural Leadership (CWIL) starting July 1, 2018. This is an hourly, full time position.

The Administrative Assistant for CWIL provides complex secretarial services, accounting, and administrative assistance to a number of CWIL staff and the Dean of Graduate Programs. Responsibilities include secretarial assistance, data entry, and event coordination for a variety of diverse programs, including the Global Education programs, the Women’s Entrepreneurship Initiative, the English Language School, International Student and Scholar Services, and the Graduate Programs. Responsibilities of the position require efficient application of secretarial skills, including extensive budget experience, a moderate degree of decision-making, excellent time-management, and independence of action. Additional responsibilities include, but are not limited to:

  • Providing general office supervision and taking minutes at meetings
  • Building and maintaining complex budgets for all international programs
  • Responding to specific requests for information regarding CWIL and international program procedures from students, SMC faculty and staff, and individuals from the community
  • Establishing, maintaining, and updating office, departmental, or student files
  • Preparing newsletters and mailings for a variety of programs
  • Training, coordinating, and supervising student employees
  • Completing routine reports on a periodic basis.
  • Maintaining a calendar of events/meetings, and assisting in the scheduling of events

Administrative Assistant, Development:

The Administrative Assistant for Development provides complex secretarial services and administrative assistance to Development directors. This is a full-time, benefit eligible position. Responsibilities include, but are not limited to:

  • Performs clerical tasks such as typing, filing (including confidential files), making appointments, screening calls, handling visitors, and reading and routing mail
  • Coordinates intra-division operations, procedures, and activities with other clerical personnel and student workers to ensure effective functioning of work area and maintain consistency in the application of policies and procedures related to assigned work areas.
  • Coordinates all administrative details associated with planning meetings and special events, such as taking minutes, booking meeting rooms, selecting or ordering food, coordinating mailing lists, preparing packets, maintaining responses, approving and paying invoices.
  • Uses knowledge of office cycle to exercise operational control over ongoing projects to ensure that key deadlines, administrative components, and timetables are met. This includes, but is not limited to, Gift Planning direct mail program, and annual stewardship reports.
  • Maintains the integrity of the Banner/Development database by accurately entering data in accordance with established policies and procedures.
  • Provides supervision and coordination of duties and workflow to students in assigned area.
  • Researches, collects, and tabulates data or other information for reports, records, or documents.

Administrative Assistant, Nursing Department:

Saint Mary's College Nursing department seeks an Administrative Assistant to support nursing students and faculty and work closely with the director of the Department. As the face of nursing at Saint Mary’s, the Administrative Assistant communicates directly with members of the college community and routinely provides program information to interested individuals seeking information about the nursing science programs from outside the College. The Administrative Assistant for Nursing Science provides complex secretarial services and administrative assistance to faculty in the BSN and DNP programs. This is a full-time, benefit eligible position.
 
Responsibilities include, but are not limited to:
  • Provides general office management including routing daily mail, maintaining inventory of office and lab supplies, check requests, work orders, key requests, and name badge orders 
  • Takes and transcribes minutes at monthly department meetings
  • Leads data collection to support documentation of program outcomes required by state and national accreditors
  • Responds to requests for general information about the BSN and DNP programs
  • Establishes, maintains and updates office files
  • Establishes, maintains and updates BSN students’ academic and health files
  • Trains, coordinates and supervises student employees (if needed)

Building Services Leader:

Saint Mary’s College seeks a Building Services Leader responsible for supervising and training staff in the building(s) to ensure that work is completed in a timely and effective manner. This is a full-time, benefits eligible position. Examples of job duties include, but are not limited to, the following:

  • Issues work orders in School Dude as appropriate.
  • Directly responsible for the quality of work completed by the Building Services staff in the building(s).
  • Maintains adequate inventory of supplies and requisitions materials on a monthly basis.
  • Acts as a liaison with residence hall director if a leader in a residential building.

Groundskeeper:

Saint Mary’s College seeks a Groundskeeper to maintain and repair campus grounds and facilities such as lawns, trees, shrubs, flowers, roads, sidewalks and parking lots. This is a full-time, benefits eligible position working the hours of 7:00am to 3:30pm. Examples of job duties include, but are not limited to:

  • Operates and adjusts hand and motorized equipment and vehicles such as mowers, tractors, trucks, and other related vehicles and equipment.
  • Plants, prunes, weeds, seeds, rakes, sprays, sods, mows, trims, waters, removes, transplants, fertilizes and cultivates various trees, plants, grass, shrubs and flowers.

This is a full-time, benefits eligible position working the first shift, 6:30am to 3:00pm.

QUALIFICATIONS: Must have a valid driver’s license, possess organizational skills and the ability to work with others, the ability to climb ladders to reach high places, the ability to lift/push/pull heavy items (50-75 pounds), and the ability to operate heavy cleaning equipment. One to two years of related job experience is preferred.

HVAC Technician:

Saint Mary’s College seeks an HVAC Technician to perform skilled work on heating, ventilation, air conditioning and refrigeration equipment. Performs maintenance and preventative maintenance on HVAC/R. This is a full-time, benefits eligible position. Examples of duties include, but are not limited to:

  • Performs scheduled Preventive Maintenance on HVAC Systems.
  • Installs, changes or repairs steam, gas, and electric heating equipment.
  • Troubleshoots HVAC and associated systems.
  • Installs, changes or repairs ventilation equipment, air condition equipment and chilled water systems.
  • Insulates pipe and HVAC ducts.
  • Installs, replaces or repairs steam traps, motor controls, and HVAC pneumatic controls.
